Terms & Conditions
Knowmadic Tutoring knowmadictutoring.com | knowmadictutoring@gmail.com
Thank you for choosing Knowmadic Tutoring. These terms explain how bookings, payments, cancellations, refunds, and missed classes work, so everyone knows what to expect from the start.
By booking a trial, a group class, a term, or a 1:1 session, you agree to these terms. If anything is unclear, please get in touch at knowmadictutoring@gmail.com before booking and I will be happy to talk it through.
Throughout these terms, "you" means the parent or guardian making the booking, and "your child" means the student attending.
Getting Started
Every family starts with the same two steps, whether you're exploring group classes or 1:1 support:
-
Tell Me About Your Child form: a short form about your child, where they are, what they're finding tricky, and what you'd love to see change.
-
At-Home Assessment: free, 30 minutes. Your child completes this independently at home, and you send it back to me. It helps me understand where they are, what they know, and how they feel about learning, and gives me what I need to tailor how I teach and support them once they're in their group.
1:1 support is subject to availability. Please contact us directly to check current availability before booking.
Group Classes: What's Included and Pricing
Group classes are booked by the term, and your commitment is to the full term. Groups are kept to a maximum of 4 children so every child gets the attention they need, with a minimum of 2 children to run at the group rate. A place in a group is only confirmed once payment has been received. Maths is currently running, split by year group; English and Phonics are coming soon.
Each term includes:
-
Live weekly group classes, 50 minutes each
-
Regular class notes and optional follow-up activities
-
Termly reports and assessments
-
A free, optional monthly Flow Session
Termly pricing (per child, per subject):
-
Autumn Term (14 classes): £350
-
Spring Term (11 classes): £275
-
Summer Term (14 classes): £350
Trial Class
Trial classes are paid, at £25 per trial (one 50-minute class). This keeps places available for families who are ready to commit, and means your child joins a group where everyone is there to learn. A trial is available once per child and is subject to space in the group.
If your child cannot attend their trial, please give at least 24 hours' notice, and I will offer one alternative date. If a trial is missed without 24 hours' notice, the fee is not refunded and a new date is not guaranteed.
After the trial, you're welcome to join the group by booking the term. If the term has already started, please contact me for an adjusted price for the remaining classes.
Wellbeing Sessions
A free, optional monthly "Flow Session" is included for all 1:1 and group programme students, using creative activities to help children manage their emotions and feel well in themselves. Flow Sessions run on the first Tuesday of each month. If that Tuesday falls in a holiday, an alternative date will be given in advance.
Payment Options and Dates
When you book group classes, you're committing to the full term. The payment option you choose only changes how the cost is paid, not the commitment.
-
Termly payment: the full termly fee is paid before the first class of the term.
-
Termly, paid monthly: the termly fee is split into equal monthly payments, taken automatically by card through Stripe on the same date each month, starting on the date you sign up, until the term is paid in full. For example, if you sign up on the 25th, payments are taken on the 25th of each month. The final payment is taken during the last week of the term. You'll receive a reminder email a few days before each payment is due.
-
Yearly payment: the fee for all three terms is paid in full before the Autumn Term starts, at a discounted price.
Other notes:
-
Joining mid-term: if you'd like your child to join partway through a term, please contact me for an adjusted price for the remaining classes.
-
Access to classes and class notes is only available while payments are up to date.
-
Unused classes cannot be carried over to another term, transferred to another child, or exchanged for a 1:1 class, course, or resource.
-
Classes do not run during school holidays and half-terms.
Failed Payments
If a monthly payment fails, Stripe will automatically try again up to three times over the following few days. You'll be notified by email so you can update your card details.
-
Your child won't be able to join classes or access class notes until the payment has gone through.
-
The remaining balance for the term is still due, as the commitment is to the full term.
-
If a payment has still not been made after 7 days, your child's place may be offered to a family on the waiting list.
-
If payments fail repeatedly during a term, I may ask you to pay the remaining balance in full, or to move to termly payment in future.
-
If you know a payment is likely to be a problem, please let me know before the payment date and we can talk about it.
Cancelling and Notice Period (Group Classes)
I need at least one month's notice to cancel payments. This applies to every payment option: monthly, termly, and yearly. Please give notice in writing by emailing knowmadictutoring@gmail.com.
-
Termly, paid monthly: notice must be given at least one month before the next payment date. Any payment due within that month will still be taken, as the commitment is to the full term.
-
Termly: notice must be given at least one month before the start of the next term, so a space can be offered to students on the waitlist.
-
Yearly: notice must be given at least one month before the start of the next academic year, so waitlisted students have the opportunity to join.
Places are offered to existing families first for the next term. If you're not continuing, the one month notice period above applies, and please bear in mind that a place given up may not be available again later.
If a payment is taken in error, and you gave the full month's notice, please contact me and it will be refunded in full.
Missed Group Classes
Group classes run at a set time each week, and your child's place is held for them whether or not they attend. Because of this, missed classes are not refunded and cannot be carried over to a later month or term.
-
Please give at least 24 hours' notice if your child can't attend, so I can plan the group session.
-
If your child misses a class, you'll receive the class notes and a follow-up activity so they can keep up before the next session.
-
Group classes are not recorded, to protect the privacy of every child in the group.
-
Missed group classes cannot be swapped for a 1:1 class or a place in a different group.
-
Please make sure your child logs on on time, as classes start promptly.
1:1 Classes: Cancelling and Rearranging
Time is set aside specially for your child in 1:1 classes, so a clear notice period applies.
-
24 hours' notice or more: the class can be rearranged to another available time within 14 days.
-
Less than 24 hours' notice, or a no-show: the class is charged in full and cannot be rearranged or refunded.
-
Each booked class can be rearranged once. If the rearranged class is then cancelled, it's charged in full.
-
Regular weekly slots are held for families who attend consistently. If a slot is cancelled or rearranged three times in a term, it may be offered to another family.
-
In exceptional circumstances, such as sudden illness, please contact me as soon as you can and I'll review it.
If I Need to Cancel a Class
Occasionally I may need to cancel or move a class because of illness or an emergency. If this happens, I'll let you know as early as possible, and your child will still receive the lesson in one of these ways:
-
A rescheduled live class at another time, where possible.
-
A recorded version of the lesson with the class notes, if a new time isn't possible, so your child stays on track.
-
If neither option is possible, the missed class will be refunded.
Refund Policy
Each offer has its own refund terms, set out above. In every case, if there's been a billing error, please contact me and it will be put right.
If a place is withdrawn because of behaviour or repeated failed payments, no refund is given for the remainder of that term.
All refund requests should be sent to knowmadictutoring@gmail.com and will be reviewed individually.
Behaviour, Online Safety, and Technology
Classes are friendly, calm spaces where every child should feel safe to have a go.
-
Children are expected to be kind and respectful to everyone in the group. If behaviour repeatedly disrupts learning, I'll talk to you first. If it continues, your child's place may be withdrawn.
-
Classes take place on Lessonspace. Your child will need a laptop with a working camera, microphone, and a reliable internet connection.
-
A drawing tablet isn't required, but it can help make sessions even more interactive on the whiteboard, and these are easy to buy online.
-
Please make sure an adult is nearby during classes, especially for younger children who might encounter technical difficulties.
-
Classes must not be recorded, photographed, or screenshotted by families. Class materials are for your child's use only and must not be shared outside the group.
-
Please use your child's first name only on screen.
Logging on to Classes
-
Classes take place on Lessonspace, which combines live video with an interactive whiteboard.
-
A joining link is shared once, ahead of your first class, and the same link is used to join every week.
-
Any technical issues should be reported as early as possible before the class start time so we can help troubleshoot.
Communication and Results
I'm always happy to hear from you about your child's progress.
-
Please get in touch by email at knowmadictutoring@gmail.com. I reply to messages Monday to Friday, 9am to 5pm, and aim to respond within 2 working days.
-
If a short phone or video call would help, we can arrange one.
-
Every child learns at their own pace. While classes are carefully planned to help your child make progress, specific results or grades cannot be guaranteed.
-
I take care to make sure all materials are accurate. If you spot an error, please let me know and I'll correct it.
Parents, Guardians, and Minors
Knowmadic Tutoring works with children aged 5 to 11. All bookings must be made by a parent or guardian, who is responsible for the accuracy of the information provided and for supervising their child's access to classes where needed. Any communication about a student's progress will be with the parent or guardian, not the student directly, unless otherwise agreed.
Data Protection and Privacy
We take the privacy of our students and families seriously. Details of how we collect, use, and store personal data are set out in our separate Privacy Policy, available at knowmadictutoring.com/privacy-policy. By booking with Knowmadic Tutoring, you agree to the terms of that policy alongside these Terms & Conditions.
