Terms & Conditions

Knowmadic Tutoring

knowmadictutoring.com knowmadictutoring@gmail.com

These terms apply to all bookings made with Knowmadic Tutoring, including assessments, group programmes, 1:1 tutoring, and wellbeing sessions. By booking with us, you agree to the terms below.

Internet Access

Sessions are delivered live online via Lessonspace. A stable WIFI connection is needed for both video and the interactive whiteboard to work properly. If a session is disrupted by a connection issue on the family's side, please let us know as soon as possible so we can find the best way to resolve it.

Behaviour in Sessions

Students are expected to engage respectfully and appropriately throughout each session. Knowmadic Tutoring works with children aged 5 to 11, and sessions are designed to be warm, encouraging, and age appropriate. If behaviour repeatedly disrupts a session, we will speak with the parent or guardian directly to agree a way forward together.

Getting Started

Every family starts with the same two steps, whether you're exploring a group programme or 1:1 support:

  • Parent-Tutor Call: free, 20 minutes. A relaxed chance for us to chat about your child, where they are right now, what they're finding tricky, and what you'd love to see change.

  • Initial Assessment: £20, 40 minutes. I work with your child 1:1 to understand where they are, what they know, and how they feel about learning. This gives me everything I need to tailor how I teach and support them once they're in their group.

Group Programmes: Sessions and Pricing

Small groups of up to 4 children, run in recurring 6-week blocks, for ages 6 to 11.

  • Maths: £150 per 6-week block (50-minute sessions)

  • English: £150 per 6-week block (50-minute sessions)

  • Phonics: £90 per 6-week block (30-minute sessions)

Every group placement starts with the free Parent-Tutor Call and the £20 Initial Assessment.

1:1 Tutoring: Sessions and Pricing

  • First Lesson: £25 for 50 minutes. Your child's first proper session, building the foundations and giving you a feel for how sessions work.

  • Pay-per-session: £55 per session (50 minutes), for families who prefer to book as they go.

  • Packages (block discount applied, following the free call, £20 assessment, and £25 first lesson):

  • 4 Week Taster: £208 total

  • 8 Week Term: £400 total

  • 12 Week Full Term: £576 total

Wellbeing Sessions

A free, optional monthly “Flow Session” is included for all 1:1 and group programme students, using creative activities to help children manage their emotions and feel well in themselves.

Payment: How and When It's Due

  • The free Parent-Tutor Call requires no payment.

  • Initial Assessment (£20) is paid in advance of the session.

  • Group programme blocks (6 weeks, per subject) are paid in full at the start of the block.

  • 1:1 First Lesson (£25) is paid in advance of the session.

  • 1:1 packages (4, 8, or 12 week blocks) are paid in full at the start of the block.

  • 1:1 pay-per-session bookings are paid in advance of each session, or as otherwise agreed with the parent.

  • All payments, UK and international, are made via bank transfer. Bank details will be shared once your session or block is booked.

  • A session or block is not confirmed or held until payment has been received.

  • If a payment is delayed, we will get in touch to arrange it. If this isn't resolved within a reasonable time, the session or place may be offered to another student.

Refund Policy

Initial Assessment

Non-refundable once the assessment has taken place, as this covers the time spent evaluating your child and preparing feedback. If cancelled with at least 24 hours' notice, a full refund or reschedule will be offered.

Group Programmes (6-week blocks)

Because places are limited to 4 children and reserved specifically for the group, sessions missed without 24 hours' notice are non-refundable. If a student withdraws from a group block partway through, remaining unused sessions will be reviewed on a case by case basis.

1:1 First Lesson

Non-refundable once delivered. If cancelled with at least 24 hours' notice, we're happy to reschedule. Cancelled with less than 24 hours' notice, or missed without notice, the fee is forfeited.

1:1 Packages (4, 8, or 12 week blocks)

Sessions already delivered within a package are non-refundable. If a family needs to stop partway through a package, any remaining unused sessions will be reviewed on a case by case basis, minus any sessions missed without the required notice.

1:1 Pay-per-session

Each session is non-refundable once delivered. Standard 24-hour cancellation notice applies, as below.

Wellbeing Sessions

As these are included free, no separate refund applies.

All refund requests should be sent to knowmadictutoring@gmail.com and will be reviewed individually.

Cancellations, Missed Sessions, and Rescheduling

  • 24 hours' notice is required if a student is unable to attend a scheduled session.

  • Sessions cancelled or rescheduled with 24 hours' notice or more will not be charged, and we'll do our best to find an alternative time, subject to availability.

  • Sessions cancelled with less than 24 hours' notice, or missed without notice, will be charged in full and cannot be rescheduled, as the time has been reserved specifically for your child.

  • Repeated late cancellations or no-shows may affect the availability of a fixed weekly slot, as we may need to offer it to another student.

  • Sessions are not recorded, so students who miss a session should get in touch for a summary of what was covered and any homework set.

Logging on to Sessions

  • Sessions take place on Lessonspace, which combines live video with an interactive whiteboard.

  • A joining link is shared once, ahead of your first session, and the same link is used to join every week.

  • Students should join from a laptop, PC, or tablet with a stable internet connection, ideally in a quiet space free from distractions.

  • Any technical issues should be reported as early as possible before the session start time so we can help troubleshoot.

Boundaries and Contact

  • Tutoring sessions, materials, and feedback are provided within the scheduled session time.

  • Regular updates are shared with parents on how sessions are going. Periodically, this includes written feedback on your child's progress.

  • Additional support outside of sessions (extra marking, extended written feedback, etc.) can be arranged separately if needed, but isn't included as standard.

  • Usual contact hours are Monday to Friday.

  • General queries, rescheduling requests, and updates can be sent to knowmadictutoring@gmail.com. We aim to respond within 1 to 2 working days.

  • Urgent same-day rescheduling is best flagged clearly by email as urgent.

  • Communication about a student's progress will be with the parent or guardian, not the student directly, unless otherwise agreed.
